Creating and saving auto emails can be done in a few simple steps to automate the process of sending prospective listings to your clients. Follow the steps below.
1. Once results have populated from a search, click Save.
2. Click New Auto Email
3. Select the contact from the dropdown or click the Create a New Contact Link. Note: A Contact is required for Auto Email.
4. If desired, enter additional email addresses in the CC: field and select the checkbox beside BCC me a copy of all emails. Note: This will give you access to the OneHome Agent Portal, making it easy to recommend properties, see your clients’ favorites and dislikes, and access other exclusive OneHome features.
5. Enter a Subject for your auto email, this field is required.
6. Review and make any desired revisions to the default message in the Welcome Email tab (message that will be included the first time your client receives an email for this auto email.) Please note: clients must click the link in the initial welcome email to continue receiving auto email results. Make any desired revisions. You may save revisions as a default by clicking the gear icon below the Message field.
7. Review the default message in the Recurring Email tab (message that will be included each subsequent time your client receives an email with matches for the saved criteria.) Please note: clients must click the link to view matches within 90 days to continue receiving email results. You may save revisions as a default by clicking the gear icon below the Message field.
8. Your default signature (if created) will be included in the Auto Email for all messages. Click the Edit Your Signature link to create or update your signature.
9. Under Settings, you have the option of enabling concierge mode by checking the checkbox. Note: if you select Concierge mode (an option that sends match notification to you instead of the client) the Schedule subheading and options will be eliminated as you will manually select what listings and when those listings are sent to a client.
10. You may select the checkbox beside Show this contact in Reverse Prospecting Results in order to make your agent information available to listing agents who have listings that match your saved auto email. This option allows that agent to reach out to you with information if desired. Please note that your auto email’s contact information remains confidential.
11. You may select the checkbox beside Enable as a favorite search on the Home Tab to create a shortcut to this search.
12. Select the Schedule auto emails will be sent on when matches are found.
ASAP indicates listings will be sent whenever new matches or price changes to existing matches are found. This option will yield the most emails to your client and offers the most immediate notification of results.
Daily indicates that you’d prefer clients to receive an email with a digest of listing matches sent. Fewer emails will be sent, but all matches will be included. If you select Daily as the option, you can select which days of the week and whether emails be sent AM, PM, or both on those days.
Monthly indicates that you’d like to send a single email on the first of the month at midnight with all listings that match criteria at that time.
13. Click Save
Once created, you can access your auto emails from My Matrix on the main menu
