Reverse prospecting is a function in Matrix where a listing agent can look for potential buyers for their listings by seeking out buyer agents who have saved automatic email that matches the criteria of their listing. Listing agents can choose to email the buyer's agents to start a conversation through Matrix. Participation in Reverse Prospecting efforts is optional for both parties. Buyer's agents can choose whether or not that contact is included in Reverse Prospecting at the time the contact is created by selecting or deselecting the Reverse Prospecting radio button.
To Utilize Reverse Prospecting as a Listing Agent:
1. Click on My Matrix from the main menu in Matrix
2. Select My Listings from the dropdown menu.
3. Select My Active Listings from the Show dropdown menu.
4. Select a listing and click on Reverse Prospect
5. The Reverse Prospect Results will display for the selected listing which includes the following information:
Agent - Buyer's Agent whose account has a saved search with matching criteria
Ref # - A reference number for the corresponding matching contact (no contact information will be visible to the listing agent.
Pre-approved - A check mark will designate if the contact has their mortgage pre-approval indicated in the contact record
Count - The number of listings that also have been sent to the contact.
Date Sent - When the contact was emailed the listing.
Folder icon - If the contact has used an icon in the OneHome client portal to indicate their preferences toward the listing it will be included. A heart indicates it was favorited.
Email - The buyer's agent email address.
Office Name - The buyer's agent office name.
Phone - The buyer's agent phone number.
6. Click on the name in the Agent column to initiate an email to that buyer's agent.
7. Customize your message and click Send.
To View Reverse Prospecting Email History:
1. Click on My Matrix
2. Select Reverse Prospect Email History
3. The Reverse Prospect Email History will display the following information:
Sent Reverse Prospect Email History (count) - This section displays the email sent by the agent acting as the listing agent.
Listing - displays a clickable down arrow to display the message beside the MLS ID # which is also a clickable link to display the listing
Ref # - displays the contact reference number
Recipient - buyer's agent for the contact
Date Sent - date email was sent
Date Viewed - date the buyer's agent viewed the email
Received Reverse Prospect History (count) - This section displays the email received by the agent as a buyer's agent.
Listing - displays a clickable down arrow to display the message beside the MLS ID # which is also a clickable link to display the listing.
Contact Name - the contact whose saved search is a match for the listing
Sender - the listing agent who sent the message
Date Sent - Date the message was sent (or if same day, the time is displayed)
Date Viewed - when the message was viewed
To Check the Reference # as a Buyer's Agent in your Contacts and or View an Individual Contact's Reverse Prospect Email :
1. Click on My Matrix
2. Select My Contacts
3. Enter the Ref # provided in the email communication from the listing agent in the Search by field. Ref # is the far right column.
4. Click on the contact's name to see options.
5. Click on the dropdown by Received Reverse Prospect History to see all matching messages.
To Disable Reverse Prospect Functionality on your Contact
1. From your contact, click on the Enable Reverse Prospecting checkbox to remove the check in the checkbox.
2. Click Save.
